How do I register for a course?


1. Create a profile on this website


This can be done by clicking on 'my profile' at the top right and logging in. It is best to use a personal email address with a corresponding password (Gmail, Hotmail, Telenet,...).

After all, the platform serves to be used 'for life', meaning that it is not practical if your profile is linked to a work email address that will change when you switch jobs. The same applies to a UGent email address, this is closed when you graduate and can then no longer be used.

2. Purchase the course via the shopping cart

When registrations for a course are open, a shopping cart will appear at the bottom right of the course page. Go to the page of the desired course and add the course to the shopping cart. After addition of all desired courses, click on the shopping cart icon at the top right to follow the final steps for payment.

Some courses are offered on our site where registration can only be done through an external partner (i.e. no shopping cart available). In such cases, more information will be available in the comments of the respective course.

3. Checkout and payment

During the payment process, additional information is requested for invoicing. If you do not have a discount or voucher, you can click on 'continue'. If your employer pays for the course or you pay for it through a company, you can enter the VAT number/company number*. If you pay for the course yourself, click on 'not subject to VAT'.

*Don't forget to write BE prior to the VAT number. Click enter after entering the VAT number. The number will be checked by the Crossroads Bank for Enterprises. When it is recognized, the other data is automatically completed. Finally, click on continue and proceed to payment.

After purchasing the course online, you will immediately receive an email with an invoice and all information about the cancellation policy.

Important information when registering:

  • Anyone who wants to register for a course must create a separate profile. It is not possible to register with 1 profile, for example, 6 participants who work in the same company. Each participant receives a personal participation certificate and/or certificate;
  • It is very important to ensure that correct data is provided that must be on the invoice (e.g. details of the employer incl. VAT / CBE number). No invoices can be adjusted once they have been sent.
  • An additional registration certificate can be requested via allpha@ugent.be, for CESPE training contact sarah.costers@ugent.be.
  • In case of technical problems, you can contact allpha@ugent.be.

Can I cancel and what are the conditions?

Do you want to cancel your registration? Please send an e-mail to allpha@ugent.be, for CESPE courses contact bram.bekaert@ugent.be.

Depending on the type of training, different conditions apply:

1. Postgraduate degrees and micro-credentials

You have registered for this programme via Oasis (i.e. centrally at Ghent University). The tuition fee for these programmes consists of an amount per credit + an amount per programme for the programme. 

The following applies:

  • Before the start of the academic year: you will receive a full refund of the tuition fee.
  • Within 14 days after registration: you will receive a full refund of the tuition fee. 
  • After the start of the academic year and before 1 December: you only have to pay the amount per programme. (*)
  • After 30 November and before 15 March: you must pay the special tuition fees, the first semester courses and the annual courses. (*)
  • From 15 March: you cannot get a refund of tuition fees.

You can cancel your contract yourself via Oasis. More info can be found here. The refund will then be arranged automatically. Do you still have questions? Please send an e-mail to studiegeld@ugent.be.

(*) The special tuition fee for the programme can only be waived after consultation with the programme manager.

2. All other courses (registration via the ALLPha academy)

Send an e-mail to allpha@ugent.be/sarah.costers. The date of cancellation is the date we received your email.

The courses have their own cancellation conditions, regulations, this is always stated in the course itself. If there are no cancellation conditions stated, then it is a free training and notification is sufficient.

Please contact us in case of circumstances of force majeure (e.g. death, serious illness) and we will look at the situation.

 

Can I pay with KMO-portefeuille?

Yes, this is possible. 

For courses for which you are registered via this website, you can find the instructions here.
For postgraduate courses, there is a different recognition number. You can find this here.

 

Will I receive a UGent student card?

No, unless you are enrolled in one of a postgraduate programme at Ghent University.

 

Can I still register on the spot?

No, you need to register in advance for a training activity via this website or according to the instructions stated with the activity.

 

Can I sign up for someone else through my account?

No, each participant needs to register on the website by creating a separate profile.

This is because a personal dashboard is linked to your login. In this way, a participant receives any participation certificates or certificates in training activities and these are personal.

 

Am I insured?

Yes, if you are registered for a lifelong learning activity, you are also insured for physical accidents and civil liability.

When you are logged in, a link to 'info insurance' will appear at the bottom of the ALLPha academy website. There you will find, among other things, the conditions and declaration forms.

 

What is a micro-credential?

Micro-credentials are short academic programmes that meet the high quality standards of Ghent University. Both in terms of content and practicality, the development of a micro-credential is primarily aimed at the needs of professionals. The focus of the programme is on a well-defined set of learning outcomes, tailored to the intended audience. They consist of a limited number of courses to which credits or credits are linked. To follow a micro-credential, you also use learning credit. If you successfully complete the course, you will receive credit certificates of the individual courses and a recognized certificate that offers clear added value for professionals and employers. The credits and competencies that you obtain with a micro-credential are recognized in your further career, also internationally and can, for example, also lead to exemptions in further education, also at other institutions and organizations.
